Here’s how we automated a Continuing Education platform with on-demand and live courses for social workers, counselors, and nurses.

Project Overview

Continuing education has evolved with the rise of online learning, as providers face numerous challenges due to compliance and regulations. As such, course creators are compelled to innovate and explore new technological solutions to satisfy the requirements of accrediting bodies.

In this landscape, we had the opportunity to collaborate with the team at CEU Creations to customize their site to address accreditation requirements and improve the user experience for both students and administrators.

CEU Creations came to us with a LearnDash site offering both live and on-demand learning for professionals all around the United States. As their eLearning platform grew, they experienced a significant increase in administrative workload and customer queries. At the same time, they needed help with effectively monitoring, managing, and reporting for live training events. 

When approaching our team, their objective was to automate as many administrative tasks as possible while optimizing user flows for live learning within the platform. After exploring the client’s site and reviewing their current configurations and workflows, we divided the project into the following objectives.

Objectives

  • Creating Live Course Events with automated attendance validation.
  • Automating event registry and cancelation for regular users and membership subscribers.
  • Customizing the certificate awarding process so that only students who remained logged in during the event and completed the final survey receive a certificate.
  • Creating custom certificates with dynamic fields to correctly display all the data required by the Continuing Education accrediting organizations.
  • Automating student notifications and emails to reduce administrative load on the organization.
  • Improving data management with custom reports for post-event evaluation submissions.
  • Automatically generating Event Reports after each event.
  • Allowing administrators to bypass automation and manually award and revoke certificates to manage exceptional cases best.
  • Conditionally displaying buttons and messaging on event landing pages according to the users' role and enrollment status.

Solution

Automated Live Learning

CEU Creations was already delivering live learning events through Event Espresso and Zoom. While this setup worked, it wasn’t genuinely efficient. Since Zoom sessions and webinars did not occur directly within the site, students frequently required administrative assistance to log into the event and find the meeting links.

Additionally, tracking attendance for every student posed a difficulty for the team, as they needed to ensure that students were not only logged in to the Zoom session but remained in the session for most of the time the event took place.

As Continuing Education providers, our clients need to guarantee their students are effectively meeting learning requirements to earn a valid certification for accrediting bodies. This means that attendance tracking and reporting are more critical than ever.

We implemented time tracking for their Zoom and LearnDash LMS courses to bulletproof their live events. Administrators can set a minimum attendance requirement as a percentage for each event. Students must log in and out and remain online for most of the event to be allowed to obtain a certificate.

LearnDash Zoom Integration For Live Events

Users who register through an event (whether by purchasing single event access or through an all-event inclusive membership) are automatically enrolled in a corresponding LearnDash course.

Before the event begins, students can view the countdown, material resources, and announcements on the Course Event page.

Once the event is finished, a button with the evaluation survey form will be enabled, allowing students to complete the survey. This button is not available throughout the session. It is also unavailable for students who join after the meeting.

Once this happens, the “Register” button on the Event landing page will be disabled and replaced with a button directing the student to the Live Course LearnDash Page.

Once the event starts, students will automatically have access to the Zoom sessions on the website without leaving the course page.

Through custom development, we enabled time tracking so students can only be qualified for a certificate when a certain percentage of active time is met for each event. Administrators can set a different percentage requirement for each event on the back end.

Attendance Tracking and Conditional Certificate Awarding

Additionally, all students in CEU Creations must complete a post-event Evaluation Survey. The survey is only accessible to students once the event is finished. However, for students who join after the event but do not participate during the live session, the evaluation button remains disabled, preventing students from cheating the system.

After the event, LearnDash was custom-developed to scan for both requirements. Students only access their certificates when the Evaluation Survey and Attendance requirements are met. Students can see their attendance and a link to their certificate (when obtained) directly from their Student Profile.

Additionally, an automated email is sent to all students who didn’t obtain a certificate, explaining why they weren’t eligible to receive it and, therefore, reducing customer support queries.

Handling Exceptional Cases: Manually Awarding and Revoking Certificates

As with everything in life, there are exceptions. In the case that students have a legitimate reason for failing to comply with attendance requirements, such as a technological malfunction or severe emergency, we enabled the functionality for administrators to bypass the workflow and manually award or revoke certificates from a simple dashboard.

Administrators can filter by event, quickly view a list of attendees, and use a simple button to award or revoke the certificate at any time. Changes are directly reflected in the certificate section of the student’s profile.

Customizing How LearnDash Certificates Are Awarded

Reporting

We created two custom reports to help our clients track student attendance and performance.

Evaluation Survey Reports
This report pulls data from the Evaluation Survey Form, showcasing the time of evaluation completion and answers for each question for each user. Administrators can use a dropdown to filter for each event.

Conditional Event Landing Pages

To simplify the user experience, we modified each event landing page to display information and buttons conditionally.

Users not registered to an event are shown the purchase options for members and nonmembers and the registry button.

Users who are not logged in will be prompted to log in first. On the other hand, when users are already registered for an event, the registry button will be hidden, and a button will be shown that redirects them to the LearnDash course page.

Custom Certificates

We created a custom certificate template for events, including students’ license numbers, event dates and times, learning objectives,
and other data required to comply with accrediting body requirements.
