Here’s how we integrated external training into a Continuing Education platform so Group Leaders could track compliance using the same workflows as native LearnDash courses.

Project Overview

The client wanted to make their existing LearnDash quiz system more useful for different types of learners. The current setup allowed users to take quizzes, but everyone had to follow the same learning path. Some learners only wanted a quick way to review questions, while others needed detailed explanations to help them understand their mistakes. They also wanted a realistic exam mode so learners could practice before taking their actual certification exam.

The goal was to add these new learning options without replacing the existing LearnDash system. Building a completely new quiz system would take more time, increase maintenance, and could affect features that were already working well. Instead, the client wanted a solution that would improve the learning experience while keeping the current platform stable.

We focused on creating a simple quiz experience where learners can choose how they want to study before starting a quiz. Whether they want a quick review, guided practice with instant feedback, or a full mock exam, they can select the mode that best fits their needs. 

At the same time, administrators can continue managing quizzes through LearnDash without changing their existing workflow. The result is a flexible, easy-to-use quiz system that helps learners prepare better while keeping the platform reliable and easy to maintain.

The Challenges

The client needed a way for Group Leaders to track compliance for training that was completed outside of LearnDash. These external or manually completed courses still had to work like native LearnDash courses within the existing compliance system. Group Leaders needed to assign them, schedule them, send reminders, track completions, and include them in compliance reports without creating separate workflows.

Several technical challenges made this difficult:

  • External training was not managed through LearnDash but still needed to behave like native LearnDash courses.
  • Group Leaders needed one consistent workflow for managing both LearnDash and non-LearnDash training.
  • Role-based assignments and individual course assignments had to support external training.
  • Scheduling, recurrence rules, due dates, and reminders needed to work for shell courses.
  • Compliance status calculations had to include both native and external courses.
  • Completion history and audit records needed to remain accurate and centralized.
  • AuditIQ reporting had to display shell courses alongside LearnDash courses.
  • Using the standard LearnDash course post type would have required major changes to existing workflows and templates.
  • Existing LearnDash functionality and Tangible templates needed to remain unaffected.
  • The solution had to be scalable, easy to maintain, and fully compatible with the current compliance system.

Rather than modifying the core LearnDash course structure, WooNinjas developed a dedicated Shell Courses module that integrates seamlessly with the existing compliance system while preserving the platform’s architecture and existing workflows.

To address this, we designed and implemented a dedicated Shell Courses module that operates independently from LearnDash while integrating seamlessly with the existing compliance infrastructure.

 

Instead of creating standard LearnDash courses, shell courses are managed as a separate data layer. We extended the compliance system to treat them like native courses by integrating them into role-based assignments, individual schedules, recurrence rules, compliance calculations, notifications, completion history, and AuditIQ reporting.

The Shell Courses solution provides a scalable way to manage external or non-LearnDash training without disrupting the existing LearnDash architecture. Group Leaders can administer shell courses using the same workflows they already use for native courses, while members receive a consistent compliance experience. The final implementation preserves compatibility with the existing platform, minimizes maintenance overhead, and extends the compliance system to support virtually any type of training activity.
